Managing your team

Invite teammates, choose seats and roles, and understand editor seats versus free viewers.

Your workspace is the tenant: teammates join it once and see its projects and documents. Team members in the workspace sidebar lists everyone; owners and admins manage people in Workspace settings → Member management.

Inviting teammates#

The Member management page with seat requests, member rows with seat and role selectors, and the plan summary
Requests, every member's seat and role, and the plan summary.

Owners and admins click Invite, enter an email, and pick a seat:

  • Pro — everything: upload, mark up, measure, compare, export and share.
  • Collaborator — marks up and measures every drawing, at a lower price. No uploading, exporting, sharing outside the team or managing files.
  • Viewer — free: view and comment.

The invite shows what the seat adds to your bill. They get an email with a link to join. Invites expire after 7 days, and Pending invitations lists them until then — Revoke invite cancels one. Free and Solo are one-person plans, so inviting teammates — viewers included — needs Pro (or a Pro trial).

Seats and roles#

Each person has a seat and, on a Pro seat, a role, both set from their row in Member management:

  • Seat — Pro (billed), Collaborator (billed at the Collaborator price) or Viewer (free). Seats are colour-coded everywhere: Pro blue, Collaborator violet, Viewer green.
  • Role (Pro seats) — Owner (everything, including billing and member management), Admin (manages members, billing, workspace settings, integrations and the shared tool library), or Member (the working role). A workspace always keeps at least one owner; promote someone else before demoting the last one.

A row's ⋯ menu has Remove from workspace — or Leave workspace on your own row.

What a Collaborator can do#

Collaborators use every drawing tool: markups, measurements and takeoffs, stamps, layers, calibration and comments, on every drawing in the workspace. They can copy a document's link for teammates.

Uploading, exporting (PDF, signed, save to device, takeoff CSV), sharing outside the team (share links and guests), managing files (rename, organize, move, delete) and the AI assistant are on Pro. A Collaborator sees those controls locked; clicking one offers Request Upgrade.

Seat requests#

A Collaborator or Viewer who needs Pro sends a request, with an optional note. Owners and admins see it on the bell and under Requests in Member management: ✓ moves the person to Pro, ✗ declines. Either way they're told.

Seats and billing#

The Plan summary at the foot of Member management shows how many of each seat you have, what each line costs, the monthly total and the next bill.

Pro and Collaborator seats are billed; Viewers are free, and so are document guests (outside collaborators invited to a single drawing — see Sharing a document).

Seat changes sync to billing automatically: add a member mid-cycle and the subscription adjusts; move someone between seats and it adjusts again. Details in Plans & billing.

In the apps#

The iPhone, iPad and Mac apps show the team and pending invites read-only, with each person's seat. Inviting, changing seats or roles, and removing people happen on notch.build — admins get a Manage on web button there.
